TrackFleet Terms of Use

1. Acceptance of Terms
By accessing this website, using TrackFleet Hub, using any TrackFleet module, or purchasing TrackFleet digital products, you agree to comply with these Terms of Use. If you do not agree with these terms, you should not use the website, access TrackFleet services or download any TrackFleet materials.
2. About TrackFleet
TrackFleet provides transport software, compliance resources and operational tools for transport operators. TrackFleet Hub is the main customer area for company profile, users, product access and module access.
TrackFleet Central is the compliance module for vehicles, drivers, maintenance, walkaround checks, tachograph, Working Time, defects, fuel and fleet records. TrackFleet Dispatch is the operations module for jobs, day book control, driver workflow, PODs, waste notes, invoicing, timesheets and reports. TrackFleet may also provide downloadable digital products including policies, procedures, templates, toolbox talks, checklists and handbooks.
TrackFleet is operated by TRACKFLEET LTD, a company registered in England and Wales under company number 17270562. The registered office is 9 Ashby Mews, Swanwick, Southampton, SO31 7QD.
3. TrackFleet Hub and Module Access
TrackFleet Hub and TrackFleet modules may be made available to users on a trial, early access, paid subscription or agreed account basis. Features and availability may change as the services develop.
- Hub access: users may access enabled TrackFleet modules through TrackFleet Hub.
- Module access: Central, Dispatch and any future modules are only available where enabled for the customer account.
- Service availability: we aim to maintain uptime but cannot guarantee uninterrupted access.
- Changes: features may be modified, improved or removed for development, maintenance, operational or security reasons.
- Accounts: users are responsible for protecting their login credentials and ensuring only authorised users access their account.
4. Subscription and Payment
Paid software access is normally provided through monthly subscription unless otherwise agreed in writing. Prices, plan limits, trial periods and module access may vary depending on the selected plan or agreed customer setup.
- Billing: payment may be collected through Stripe or another approved payment method.
- Module pricing: Central, Dispatch and Complete Hub pricing may be based on active powered vehicle count, unless otherwise agreed in writing.
- Late or failed payment: access may be paused, restricted or cancelled if payment is not received.
- Cancellation: customers may request cancellation by contacting TrackFleet.
5. Acceptable Use
You must not misuse the TrackFleet website, TrackFleet Hub, TrackFleet modules or any TrackFleet services.
- attempt to gain unauthorised access to systems or customer accounts
- test, scan or exploit system vulnerabilities
- reverse engineer, copy or interfere with TrackFleet software
- upload malicious files, code or harmful content
- use services in unlawful, misleading, abusive or harmful ways
- share login details with unauthorised users
6. Customer Data
Customers are responsible for the accuracy of information entered into TrackFleet systems, including company details, vehicle records, driver records, job details, compliance records, POD information, waste note details, invoice information and any supporting documents or evidence uploaded to the system.
TrackFleet provides tools to help organise and manage information, but users remain responsible for reviewing and validating the information they enter and rely upon.
7. Digital Products
Many TrackFleet products are supplied as digital downloads including PDF, DOCX or ZIP files.
- Delivery: downloads are generally available immediately after successful payment.
- Your responsibility: you must ensure your device can open the file format supplied.
- Support: contact support@trackfleet.uk if you experience download issues.
8. Refunds
Due to the nature of digital downloads, refunds are generally not offered once a file has been delivered.
Refunds may be considered where required by law or where a file is demonstrably faulty and cannot be replaced.
Software subscription refunds, if any, are considered at TrackFleet’s discretion unless required by law or agreed in writing.
9. Intellectual Property
All TrackFleet content, branding, documents, templates, designs, software, platform features and supporting materials remain the intellectual property of TrackFleet and may not be copied, reproduced, redistributed or exploited without permission.
10. Permitted Use
Purchased materials may be used internally within your own business.
- materials may not be resold
- materials may not be redistributed publicly
- materials may not be used to create competing products
- software access may not be shared with unauthorised third parties
11. Compliance Disclaimer
TrackFleet software, dashboards, reports, digital documents and resources are operational aids and documentation frameworks. They do not constitute legal advice and do not guarantee any regulatory, audit, enforcement or commercial outcome.
Users remain responsible for ensuring compliance with applicable laws, regulations, operator licence undertakings, industry rules and customer requirements.
12. Limitation of Liability
TrackFleet services and materials are provided “as is”. To the maximum extent permitted by law, TrackFleet is not liable for indirect losses, business interruption, loss of profits, loss of contracts, loss of data, loss of goodwill or consequential losses arising from use of the website, software, modules or digital products.
13. External Links and Third-Party Services
The website and TrackFleet services may contain links to third-party websites or use third-party services such as payment, hosting, email or analytics providers. TrackFleet is not responsible for third-party website content or privacy practices.
14. Changes to These Terms
TrackFleet may update these terms at any time. Updated versions will be published on this page. Continued use of the website, TrackFleet Hub, TrackFleet modules or digital products after changes are published means you accept the updated terms.
